How many calls small businesses actually miss
Most owners guess around 10%. The real figure for a typical UK trade, clinic or service business sits between 20% and 30% of inbound calls — and for sole traders working on the tools it can exceed 40%.
The reason is mundane rather than negligent. You cannot answer a phone with your hands in a consumer unit, while driving between jobs, mid-consultation, or at 8pm on a Saturday. The call does not fail because you do not care. It fails because you are doing the work.
What happens next is the expensive part
The widely cited figure is that around 85% of people who reach voicemail hang up without leaving a message. That is consistent with what most business owners observe: the voicemail box is mostly empty even on days full of missed calls.
The follow-on behaviour matters more. Someone with an immediate problem — a leak, a breakdown, a toothache, a lockout — does not wait. They go back to the search results and ring the next business on the list. Industry surveys consistently put that figure around three quarters of callers.
So the enquiry you paid for, through advertising, SEO, a van livery or twelve years of word of mouth, converts. Just not for you.
Putting a pound value on one missed call
The honest answer is that it depends entirely on your average job value, but the arithmetic is straightforward and worth doing properly for your own business.
Take your average job value, multiply by your typical enquiry-to-job conversion rate, and that is the expected value of one answered call. A plumber with a £220 average job and a 45% conversion rate is looking at roughly £99 per call. A builder with a £14,000 average project and a 20% conversion rate is looking at £2,800.
The annual number for a typical trade business
| Input | Example value |
|---|---|
| Inbound calls per week | 40 |
| Percentage missed | 25% |
| Missed calls per week | 10 |
| Expected value per call | £99 |
| Weekly loss | £990 |
| Annual loss (48 working weeks) | £47,520 |
Why voicemail is not the answer
Voicemail solves the problem from your side — you have a record of who rang — while doing nothing about the problem from the caller's side, which is that they still have an unsolved problem and nobody has helped them.
It also costs you twice. First in the 85% who never leave a message. Then again in the time you spend that evening listening back and returning calls to people who booked someone else four hours ago.
What actually recovers the money
- Missed call text-back. Within seconds of a missed call, the caller receives a text from your business. Most reply, and the conversation continues by SMS while you finish the job. Cheapest fix, fastest to deploy, usually the highest return.
- An AI voice receptionist. The call is answered rather than missed at all. It triages, answers common questions, books into your live diary and escalates genuine emergencies to your mobile.
- Out-of-hours coverage. Around 40% of domestic enquiries arrive outside 9–5. Covering evenings and weekends is often a larger uplift than anything you do during working hours.
- Unlimited simultaneous answering. During a demand spike — a storm, a cold snap, a January rush — human capacity caps out. AI capacity does not.
Do the sum for your own business
Count your inbound calls for one normal week. Check your phone log for unanswered ones. Multiply the gap by your own expected value per call. Almost everyone who does this exercise honestly finds a five-figure annual number, and most find it uncomfortable reading.
The fix costs less than the loss in nearly every case we have modelled, which is why missed call recovery is the first thing we deploy for a new client rather than the last.
