Automate the admin that eats your week

Most small business owners lose more than a day a week to admin that a machine could do perfectly. We find those tasks, automate them properly, and hand you back the time.

The problem

The cost of doing it by hand

Copying details from an enquiry into a job sheet. Typing the same welcome email for the ninetieth time. Chasing a signature. Building the same spreadsheet report every Monday. Re-keying a job into the accounts package. None of it is difficult. All of it is expensive, because it is your hours, at your hourly value, doing work that does not need a person.

The 2026 American Express SME Barometer, a survey of 1,000 UK small business owners with Small Business Saturday UK, found they spend an average of 11 hours a week on admin and finance tasks (reported July 2026). If your time is worth £45 an hour, that is over £25,000 a year spent on typing.

Automation is not about replacing people. It is about removing the tasks that make good people slower and owners exhausted — and doing it without asking anyone to learn a complicated new system.

What it does

Business Process Automation — what you actually get

📋

Client onboarding that runs itself

Job won triggers the welcome email, the details form, the contract for e-signature, the deposit request, the calendar entry and the internal job sheet. One click instead of forty minutes.

🧾

Invoicing and chasing

Invoices raised from completed jobs, sent automatically, and chased on a polite escalating schedule until paid. Cash flow stops depending on whether you had time on Friday.

📅

Scheduling and reminders

Bookings written to the right diary, confirmations sent, reminders at 24 hours and 2 hours, and rescheduling handled without a phone call. No-shows typically fall sharply.

👥

Staff onboarding and compliance

New starter paperwork, document collection, training checklists and certification expiry reminders — tracked automatically instead of living in someone's head.

📈

Reporting without the spreadsheet

The numbers you actually manage by — leads, conversion, jobs, revenue, response times — compiled automatically and delivered weekly or monthly.

🔗

Your existing tools, connected

We integrate what you already pay for rather than forcing a migration. Accounts package, calendar, storage, comms — joined up so data stops being re-typed.

How we build it

From call to live

  1. Time audit. We map where the hours actually go across a normal week. The answer usually surprises people.
  2. Pick the expensive tasks. We rank by hours saved and risk removed, then start with the two or three with the biggest return.
  3. Build and test in parallel. The automation runs alongside your manual process until it is demonstrably correct. Nothing is switched over on faith.
  4. Switch over and document. You get a plain-English record of what happens automatically, what triggers it, and how to pause it.
  5. Expand monthly. Each month we automate the next thing on the list. The compounding is the point.
Typical timeline

Most clients are live within three weeks of the discovery call. Compare that with the three to six months quoted by enterprise AI consultancies — we move faster because we build for small businesses, not corporate IT departments.

FAQ

Business Process Automation questions

Usually not. We automate around the tools you already use wherever possible. Where something new is genuinely needed we handle the setup, provide short walkthrough videos, and keep the day-to-day interface as close to what people know as we can.
Tell us and we change it. That is what the monthly management fee covers — most clients adjust something every couple of months as the business evolves.
In our experience it stops them drowning. The repetitive typing goes away and they get to do the work that actually needs judgement — chasing the difficult debtor, looking after the awkward client, spotting the problem before it becomes one.
Every workflow has error handling and alerting. If something breaks, we know before you do, and fixing it is included. Nothing silently stops in the background.
Usually. We have built certificate expiry tracking for electricians, recall reminders for clinics, tenancy renewal chains for letting agents and MOT reminders for garages. Bring us the process and we will tell you honestly whether it is worth automating.
Process automation starts on the Growth plan and expands considerably on Full Managed, which includes staff onboarding, internal knowledge base and monthly strategy calls to identify the next thing worth automating.
